Privacy Policy

This policy explains what personal information Cosplaynia collects, how we use it, and the choices you have. It applies to cosplaynia.com and any service we provide.

1. Who we are

Cosplaynia ("we," "us," or "our") is the data controller for the personal information collected through this storefront. You can reach us at [email protected].

2. What we collect

  • Order info: name, shipping address, email, phone, items ordered, custom sizing measurements when you order a made-to-measure piece.
  • Payment info: handled by the payment method you choose. Card and PayPal payments are processed by PayPal — we never see your card number, only a transaction reference. Crypto payments are processed on our own self-hosted BTCPay server; we see the payment amount and transaction, never your wallet identity.
  • Browsing data: cart contents, currency, country, device type. Stored in cookies and your browser session.
  • Usage statistics: with your consent, our self-hosted, cookieless analytics (Umami) records pageviews, anonymous sessions, approximate country, device type and live shopping stages. It sends activity signals about every 30 seconds while a page is visible. It does not record form contents, customer order IDs, URL query strings or cross-site identifiers. Essential only, Do Not Track and Global Privacy Control disable analytics.
  • Communications: messages you send us, customer-service emails, return requests.

3. Why we use it

  • To process your order, ship your costume, and handle returns.
  • To draft a pattern when you order a made-to-measure piece (custom sizing fields).
  • To send order confirmations, shipping updates, and necessary service messages.
  • To prevent fraud and keep the store secure.
  • With your consent, for marketing email and product updates.

4. Who we share it with

  • Our shipping carriers and fulfillment platform (DianXiaomi / 店小秘) — name, address, phone, and order contents, to dispatch your order.
  • PayPal, to take card and PayPal payments and process refunds. Crypto payments stay on our own self-hosted infrastructure.
  • Infrastructure providers that host and protect the store: Hetzner (servers, Germany), Cloudflare (network security and email routing), Amazon Web Services (transactional email via SES).
  • Authorities when legally required.

We never sell your personal information.

5. Where we store it

Order and customer data is stored on servers in Germany (European Union). Custom sizing measurements are sent to our workshop in Guangzhou, China, solely to draft and produce your costume. We retain order records for seven years for tax and warranty purposes, then delete or anonymize them.

6. Your rights

Depending on where you live (EEA/UK GDPR, California CCPA/CPRA, etc.) you have the right to access, correct, delete, port, or restrict our use of your personal information, and to object to processing or withdraw consent. Email [email protected] to exercise any of these.

8. Children

Our store is not intended for children under 16. We do not knowingly collect personal information from anyone under 16.
